Take bookings on WhatsApp, against real availability.
Booking by message usually means three exchanges and a mistake: what have you got on Tuesday, sorry that has gone, what about Wednesday. Every one of those round-trips is a chance for the customer to stop replying.
An Octwin agent shows the slots that are genuinely free and lets the customer claim one in the thread. The slot is held the moment they take it.
Availability the customer can trust
Scheduling tracks the things that actually constrain a booking — the staff member, the room, the chair, the vehicle bay — so what the customer is shown is what is really free.
Claiming a slot takes it. Two customers looking at the same time cannot both walk away believing they have it.

It asks for what it needs, and remembers the rest
A booking that needs a name, a service and a preferred branch can collect them in one form rather than four questions — and if the customer stops halfway, the conversation picks up where it left off on their next message rather than starting over.
A returning customer is not asked again for what they already told you.
Every booking is a record, not a message
Bookings arrive as records your team works with, with the conversation attached. Changes, cancellations and no-shows are things your back office can see and act on.
When something needs a person, it opens a case with the whole history — not a screenshot forwarded to someone.
It answers in the language they wrote in
Dates, slots and confirmations come back in the customer’s own language, detected from the message rather than chosen from a menu.
What works today, and what does not
- A reminder more than 24 hours before an appointment needs an approved WhatsApp template, and that path is still coming. Inside the 24-hour window the agent can message freely.
- We do not offer broadcast campaigns on WhatsApp today — including a batch of reminders sent to everyone booked next week.
- Two of the gates on that path are Meta’s, and they are the long pole.
Questions people ask
- Does it show real availability or just take a request?
- Real availability. The agent shows slots that are genuinely free against the staff, room or resource a booking needs, and claiming one holds it.
- Can two customers book the same slot?
- No. A slot is claimed as it is taken, so the second customer sees it gone rather than being confirmed into a conflict.
- Can it send appointment reminders?
- Inside WhatsApp’s 24-hour window, yes. A reminder further ahead than that needs an approved WhatsApp template, which is not available yet — so treat any vendor promising it without mentioning templates with caution.
- What if someone abandons the booking halfway?
- The conversation resumes where it stopped on their next message. They do not answer the same questions twice.
